Who we are

League Aid provides a collections app for organizations that collect dues, orders, or answers from members — youth and adult sports leagues, booster clubs, sports clubs, and clubs such as fishing, bowling, and hunting. You can reach us by mail at PO Box 573, Charlotte Hall, MD 20622. This policy describes the information the product handles today. It is written in plain language for organizations, members, and people who request a demo.

Organization accounts

Organizers sign in with an email magic link. We store the account email, name if you provide one, the organization profile (name, organization type, sport, city, state, logo, brand color), and which organization the account belongs to. Session cookies keep you signed in. Parents and members do not create accounts.

Rosters, drops, and family responses

An organization may upload a roster from one CSV, including a Sports Connect export. That can include player or member names, parent or guardian names, and emails and phone numbers the organization already has. Public drop and poll pages show a person as a first name and last initial.

When someone uses a link, we store what they submit: name, email, the person they pick, answers, and order details. If they pay, Stripe processes the card. League Aid does not store card numbers. The charge is created on the organization's own Stripe account. We keep the payment status and a platform-fee amount so the organization and the person who paid have a record. Receipts and drop notices go by email.

Demo requests

The Book a demo form asks for your name, email, league name, role on the board, and a message. Phone is optional. We store that request so we can follow up. We also store a hash of the network address, not the raw address, to limit spam.

If you check the text-message box, we store that you agreed, the time you agreed, and the wording you agreed to. The box is unchecked by default and is not required to request a demo or to use League Aid.

Text messages and mobile numbers

League Aid does not send marketing texts as part of the product for organizations. Reminders about a drop go by email. The only text program described here is follow-up about a demo you requested, and only if you opt in.

We do not share mobile phone numbers or SMS consent with third parties or affiliates for their own marketing or promotional purposes. Message frequency varies. Message and data rates may apply. Reply STOP to opt out and HELP for help. Opting out of texts does not cancel a demo request.

Service providers

We use processors to run the service: Supabase for the database and sign-in, Stripe for payments on a connected organization account, and an email provider when an organization's messages are sent rather than only logged. If a demo-request webhook is configured, the form contents — including a phone number and whether you opted into texts — are sent to that endpoint (such as GoHighLevel) so we can follow up on the request you submitted. If a league-lifecycle webhook is configured, we send the league name, the signing admin's name, email, and phone when we have them, and signup progress (Stripe, roster, first drop) to that same kind of endpoint so League Aid can follow up with the league. That sharing is for League Aid's own follow-up, not so another company can market its own products to you.

Children

League Aid is a tool for adult organizers and for parents, guardians, or members responding on a link. We do not ask children to create accounts. Roster details are provided by the organization. Public pages avoid full last names.

How long we keep information

Organization data stays while the organization uses League Aid, because organizers need the roster, drops, and responses. Demo requests are kept so we can respond and keep a record of text-message consent. To ask about access or deletion, write to League Aid at PO Box 573, Charlotte Hall, MD 20622. An organization that uploaded roster data can also remove people from its own dashboard.
